Understanding Meltwater Workspaces

Streamline account organization, empower global teams, and reduce complexity for more targeted searching and reporting.

Workspaces is a capability designed to simplify the management of larger accounts. Separate users and searches into dedicated teams for consistency and organization. While global teams and enterprise teams find impact with Workspaces, smaller teams may benefit from assigning Workspaces as well.

Note: If you do not have access to Workspaces, contact your Meltwater Representative.

Features available for Workspace assignment include: Searches, Alerts, Monitoring Views, Tags, Monitored (earned) social connections, and Dashboards.

This article will cover:

Workspace Overview

  1. Once you have access, select the Account drop-down in the left-hand navigation bar

  2. Click Workspaces. This will launch the Workspaces Configuration Tool.

  3. Click Add Workspace

  4. To add members, select Update Members.

    Note: Users can be in multiple workspaces, one workspace, or none. Users not added to any workspace will be able to see all assets on the account. Users added to one or more workspaces will only be able to see the assets in the workspace they are actively using.

  5. Next, using the top tool bar, add Explore Searches, Tags, Monitored (Earned) Connections, Monitoring Views, and Dashboards to the workspace.

    Note: New searches, Dashboards, or other assets created within a workspace will only be seen in that workspace. They can be shared to other Workspaces via this configuration tool.

    Note: Within the Explore tab will have four asset types to choose from - Searches, Custom Categories, Filter Sets and Author Lists. These assets can be shared or unshared using the toggle button. Shared assets are available for all users in any Workspace to view, and use. Unshared assets can only be seen and used in the Workspace they were created in.

  6. To get the most relevant materials unique to your Workspace, use Read-Only Searches, Custom Categories, Filter Sets, and Author Lists

  7. If you have multiple workspaces, you can toggle between them by using the Workspace Switcher

    1. Select your profile icon in the top right-hand corner

    2. Select Workspaces

    3. Select a new Workspace

      Note: the Workspace Switcher will only appear if a user is in more than one workspace.

Admin Workspaces

All accounts with Workspaces now have the option to add users to the Admin Workspace. The Admin Workspace can be set up in the Workspace configuration tool, and is located at the top of the list of Workspaces a company has set up. It will automatically include all existing and newly created assets (such as searches) for the entire account, regardless of the workspace those assets were created in. The Admin Workspace does not count towards Workspace entitlements. In the example below, the customer is paying for 3 Workspaces.

How do I make sure I'm getting the most out of Workspaces?

Workspaces help you segment your organization into teams or groups with a similar scope, removing excess clutter and allowing for stronger customer focus.

  • Examples: Workspaces can be created based on departments such as Communications, Marketing, HQ, Research, Education, Finance.

  • Workspaces can also be broken down by Agency clients (Coke, Nike, Pepsi, Taylor Swift).

  • Alternatively, by geography (North, USA, Canada, South, UK, etc).

Who can see content (searches or dashboards, tags, etc) that is added to a Workspace?

If an asset (such as a search) is moved into a Workspace, that search can be viewed by users on that Workspace. It can also be viewed by users not in any Workspace.

Can anyone access the Workspaces configuration tool?

No. The only users who can create/manage/delete Workspaces are those with the Manage Users - Admin permission. Those with Manage Users Viewer or No Access status will not have the ability to configure Workspaces.
