Learn more about Engage Best Practices from our recent Product Workshop.

Account Set Up: Groups

Groups in Engage help upscale your usage by enabling you to better organize accounts. Depending on your use case, groups can be organized based on:

  • Access Levels: Grant access to specific team members based on their role.

  • Geography: Organize accounts by region for geographically focused campaigns.

  • Use Case: Tailor groups for campaigns or business units.

By creating as many groups as necessary, you streamline processes, making managing and controlling access to different social accounts, posts, and workflows easier.

Creating a Group

  1. Click the Account drop-down in the left-hand navigation bar

  2. Select Social Connections

  3. Click Owned Connections

  4. Select Groups

  5. Click Create Group

  6. Select the social accounts you want to include in that group

  7. Give your group a name

  8. Click Next

  9. Select users to add to the group

  10. Click Next

  11. Customize each user's permissions accordingly. You can change permissions for Publish and Measure

Note: Updating these settings will override existing permissions.

  12. Select Create Group

Benefits

  • Organization: Better manage workflows by separating accounts into specific categories.

  • Efficiency: Streamline publishing processes by enabling group-based workflows.

Publishing Best Practices

Approval Workflows in Publishing

Approval workflows allow you to ensure content quality and maintain oversight before anything goes live. This is particularly helpful when working with junior team members or if you want an additional layer of review.

  • Junior Members: Set approval workflows where their posts need approval before publishing.

  • Senior Members: These team members have the final say, approving or rejecting posts before they go live.

Workflow Rules

  • Only one person can approve content; they cannot also be the creator.

  • Approval workflows can’t be applied to posts published immediately (i.e., "Now").

  • If the post isn’t approved by the scheduled time, it automatically moves to draft mode.

Publishing for Groups

Rather than publishing content for individual accounts, you can post directly to groups, a time-saver that ensures a consistent strategy across multiple channels. Follow these steps to publish to a group:

  1. Select the Engage drop-down in the left-hand navigation bar

  2. Click Publish

  3. Select Create

  4. Click Post

  5. Select Social Accounts

  6. The groups you created will now populate above your individual social accounts. Select the check box next to the group(s) you want to publish to

  7. Click OK

  8. The workflow from here will be the same as it is for publishing on individual social accounts

Benefits

  • Efficiency: Save time by publishing to multiple accounts in one go.

  • Consistency: Maintain a uniform message across platforms while optimizing posts per channel.

Collaborators

Use collaborators to extend your brand's reach. By working with other social media influencers or partners, your posts can appear on feeds you might not normally access.

AI Assistant

Leverage the AI Assistant to generate content ideas, draft captions, or refine your messaging. The AI tool helps ensure your posts are engaging and optimized for your audience.

Best Times to Publish

Use Engage’s analytics to determine the best times to post. This ensures your content gets maximum visibility based on when your audience is most active.

Conversations Best Practices

Meltwater Engage provides a flexible way to manage inboxes from various social channels in one place. This saves time by allowing you to respond to all your messages and comments without switching between platforms.

Tagging Content

Use tags to categorize incoming messages based on criteria like urgency, sentiment, or campaign relevance. Tags help you quickly prioritize and respond to important messages.

Saved Responses & Automation

Use saved templates for common inquiries to speed up your responses. Additionally, you can automate specific actions in your community management, allowing a hands-free approach to handling routine tasks.

Measure Best Practices

Cross-Channel Performance

Engage provides a consolidated view of your social performance across different platforms. By tagging posts internally, you can track campaign performance, compare results across platforms, and get a clear view of what's working.

Internal Tagging

Create as many internal tags as you need for your content, such as campaign names or themes. These act as "sticky notes" to help organize and assess the effectiveness of specific posts or strategies across different channels.

Key Metrics

  • Engagement: Track likes, comments, shares, and overall interaction.

  • Reach: See how far your posts are spreading and how many people they are reaching.

  • Conversions: Measure clicks, sign-ups, or purchases that result from your social campaigns.
