Using Outreach Templates for Sending Press Releases in Media Relations

Use templates in order to reproducibly send formatted outreach for your campaigns in Media Relations.

Press release templates help ensure your branding is consistent and formatting is accurate across the board.

Creating a New Template

  1. Click Media Relations from the left-hand side navigation bar

  2. Select Outreach

  3. Click Create in the top right-hand corner

  4. Select Create template from the drop-down menu

  5. Give your Outreach template a name

  6. Your template design can be customized within the editing box with the same built-in features available when sending your release. If you have an existing press release design saved in a document you can copy and paste it into the editing box.

    Outreach offers a wide range of formatting tools, including:

    • choosing between 15 standard text fonts

    • modifying the text font size

    • modifying the text font color

    • applying bold, italicize, underline & strike-through

    • clear formatting

    • insert hyperlink

    • insert image

    • apply left, center and right-alignment

    • apply left or right-indent

    • apply bullet list formatting

    • apply number list formatting

    • undo / redo

    • insert emoji

    It is important to note that you can also copy and paste your desired formatting into the text editor directly from your preferred word processor. If you encounter issues, it may be because our text editor does not support the formatting in your word processor. In these cases, reach out to support for assistance cultivating the right HTML for your template, which you can re-use.

  7. Once you've finished editing your template, select Save Template

Converting a Document to an Outreach Template

Reaching Out to Support to Perfect your Template

If you have a template you've already been using within Outreach or that has been designed for you, you can contact our Support team for assistance converting it to a saved template.

To request assistance, email the following details to help@meltwater.com:

  • Name for the new template

  • Attachment of the template design in an editable format (e.g. word doc, separate images for banners, etc) or the name of the template currently within Outreach


Managing Your Templates

All saved templates can be accessed under the Templates tab / section of Media Relations | Outreach.

  1. Click Media Relations from the left-hand side navigation bar

  2. Select Outreach

  3. Click on the Templates tab

Note: You can save up to 50 templates.

From here, you can:

  • Create a new Outreach from a template

  • Duplicate Outreach templates

  • Edit Outreach template

  • Label (organize) your Outreach templates

    • Similar to Media Lists and Outreaches, clicking on a label on the left will filter the table to only show the Outreach Templates that have been applied with that label you select.

  • Delete templates

  • Sort the Template table by the Date created, Last updated, or Last sent dates for your templates.

Either right-click on the template of interest, or use the hover actions as pictured:

When you choose to create an Outreach from an existing template, it will load the Outreach editor with your template, where you can input your pitch copy and make additional edits.

When crafting outreaches from scratch you can also select a template from the drop-down at the top of the editor.
