Media Relations: Quickly Pitch Journalists in Meltwater

Previously, sending 1:1 emails to journalists required you to be on the full contact profile. Now, firing off an email directly to a contact can be done from from multiple places in the Meltwater tool.

Prerequisite

Before sending emails using Meltwater, you must integrate your email address in the platform. To integrate your email, follow the on-screen instructions here: app.meltwater.com/account/email-integration/.

Note: This process is different from configuring your email as an approved sender.


Quickly Pitching Journalists

After integrating your email, follow these steps to send emails to individual journalists and newsdesks:

From Media Lists

  1. Click the Media Relations drop-down in the left-hand navigation bar

  2. Select Media Lists

  3. From a Contact or Source Profile

    1. ​​​​​​​Select a journalist or newsdesk's name

    2. Click Email

  4. From a Media Relations | Media List

    1. ​​​​​​​Select Media Lists in the top toolbar

    2. Click on a journalist or newsdesk’s name to open a preview of their profile.

    3. Click Email to open the composer on the right-hand side of your screen.

  5. Once you click the email button, a new message window will open

  6. Add a subject line and type your message

  7. Click Send.

From Media Relations Search

  1. Click the Media Relations drop-down in the left-hand navigation bar

  2. Select Search

  3. Enter your search in the search bar at the top of your screen

  4. Select a contact name

  5. Click Email in the right-hand pop-up

    Note: If you’d like to review all interactions between your team and a contact, you can do so from that contact or source’s full profile on the interactions tab.

  6. Navigate to a contact or source's full profile

  7. Click on the Interactions tab

  8. View any Outreach (Mass Distribution) or Individual emails directly from the table

  9. You can also follow-up or start a new thread directly from the profile, as well.

Note: At this time, email integration does not include engagement analytics or tracking statistics.

From PR Assistant

  1. Click Explore in the left-hand navigation bar

  2. Select PR Assistant

  3. Enter at least 100 characters in the text box to prompt the assistant

  4. Select a Format, Length, and Tone

  5. Click Generate

  6. Select Copy text to clipboard on the right-hand side if you are satisfied with the AI generated text

  7. Click Suggested Journalists

  8. Select a journalist to open their full profile

  9. Click the Actions drop-down

  10. Select Send email

  11. Once you click the email button, a new message window will open

  12. Add a subject line, paste your message and make necessary edits

  13. Click Send.

From Explore

  1. Click Explore in the left-hand navigation bar

  2. Open an existing search or create a new one

  3. Select the Media Contacts tab

  4. Select a journlaist

  5. Click Email

  6. Once you click the email button, a new message window will open

  7. Add a subject line and type your message

  8. Click Send.

From Monitor

  1. Click Monitor in the left-hand navigation bar

  2. Open and existing content stream or create a new one

  3. Hover over a news article

  4. Click Open author profile

  5. Click Email

  6. Once you click the email button, a new message window will open

  7. Add a subject line and type your message

  8. Click Send.
